Using the Messages Feature

About Messages


The Messages feature allows organizers to send emails directly to vendors from BoothCentral.


Use Messages to communicate important event information such as schedule changes, weather updates, booth setup instructions, parking details, and other event specific announcements.


Note: Messages is available for events using the BoothCentral Plus pricing tier.Good to know: BoothCentral already sends certain system generated emails, such as application and payment reminders, when applicable. Messages is designed for additional communications you want to send to your vendors.



Before You Begin


To use Messages:


  • Your event must be published.
  • Your event must be on the BoothCentral Plus pricing tier.


If your event is not currently on Plus, you'll have the option to upgrade when you try to send a message.


Accessing Messages


  1. Open your event.
  2. Select Messages from the left navigation menu.
  3. Select the vendors you want to email, or use Vendor Filters to narrow down your recipients.

  1. Click Email Selected Vendors.

Upgrading to BoothCentral Plus


If your event is not currently on the BoothCentral Plus pricing tier, you'll see the message "Emailing Vendors is a Plus Feature."

To continue:


  1. Click Upgrade to Plus.
  2. Complete the upgrade process.
  3. Return to Messages and continue creating your email.


Once your event has been upgraded, you'll be able to use the Messages feature for that event.


Note: BoothCentral Plus is an event level upgrade. Upgrading one event does not automatically upgrade your other events.



Choosing Your Recipients


You can select individual vendors or use Vendor Filters to quickly find the group you want to contact.


You can filter vendors by application status, including:


  • Started
  • Pending Approval
  • Approved
  • Denied
  • Waitlisted


You can also choose vendors across your events when you need to communicate with a broader group.


Tip: Check the number of selected recipients before continuing to make sure your message is going to the intended vendors.



Composing Your Message


After selecting your recipients:


  1. Enter a subject line.
  2. Write your message.
  3. Review your recipients and message for accuracy.

Messages can be used for communications such as:


  • Event announcements
  • Schedule changes
  • Weather updates
  • Booth setup information
  • Load in and load out instructions
  • Parking and arrival information
  • Event policies and reminders
  • Other important event specific updates


Previewing and Sending Your Message


Before sending your email:

  1. Review your subject line and message.
  2. Click Preview to see how the email will appear to vendors.

  1. Confirm that your recipients and message are correct.
  2. Click Send.

BoothCentral will begin delivering the email to your selected recipients.


Important: Messages cannot be edited or recalled after they have been sent. Always review your recipients, subject line, and message before clicking Send.



Why Is Messaging a BoothCentral Plus Feature?


Every email sent through Messages has a delivery cost. As the number of vendors and messages increases, so does the cost of sending and reliably delivering those emails.
Including Messages with BoothCentral Plus helps support the infrastructure needed to send event communications directly through the platform while maintaining reliable email delivery.
BoothCentral Plus also gives us room to continue developing and supporting additional tools designed to make managing events and communicating with vendors easier.



Using Messages Responsibly


Messages is intended for communications that are relevant to your event and the vendors receiving them.


Appropriate uses include event announcements, logistics, schedule changes, weather notices, setup instructions, parking information, event policies, and other event related updates.


Messages should not be used for:


  • General marketing campaigns
  • Unrelated advertisements
  • Promotional newsletters
  • Products or services unrelated to the event
  • Other communications that are not relevant to the vendors receiving them


Keeping messages relevant helps vendors receive the information they need without unnecessary or unrelated emails.



Frequently Asked Questions


Is Messages available for every event?


Messages is available for events using the BoothCentral Plus pricing tier. Your event must also be published before you can use the feature.


Does upgrading one event give all my events access to Messages?


No. BoothCentral Plus is an event level upgrade. Each event must be upgraded separately to access Plus features.


Does BoothCentral already send emails to vendors?


Yes. BoothCentral automatically sends certain system generated emails, such as application and payment reminders, when applicable.


Messages allows you to send additional event specific communications directly to your vendors.


Can I edit or recall an email after sending it?


No. Once a message has been sent, it cannot be edited or recalled. Always preview your email and verify your recipients before sending.


What should I use Messages for?


Messages should be used for communications relevant to your event, such as event updates, logistics, schedule changes, weather notices, setup instructions, and important reminders.
