Refund Protection for Event Organizers – Overview

Refund Protection is an optional insurance product made available through BoothCentral’s partnership with Vertical Insure (ViCoverage). It allows vendors to protect their non-refundable booth and registration fees if they’re unable to attend due to covered, unforeseen circumstances.

Refund Protection helps vendors feel more confident applying to your event — without impacting your refund policy or event revenue.



Important Clarification for Event Organizers


Refund Protection is not offered, administered, or processed by BoothCentral, and it is not managed by event organizers.

BoothCentral partners with Vertical Insure (ViCoverage) to offer this optional insurance product to vendors. All claims, coverage decisions, documentation, and reimbursements are handled directly by ViCoverage, not BoothCentral and not the organizer.



What Is Refund Protection?


Refund Protection reimburses vendors for non-refundable booth and registration fees when they’re unable to participate in an event due to a covered, unforeseen reason.

If a claim is approved:


  • The vendor is reimbursed by ViCoverage
  • Organizer payouts remain unchanged
  • Your event’s refund policy is not altered or overridden



How Refund Protection Works for Your Event


  • Vendors may purchase Refund Protection during the application process or after applying, if coverage is still available.
  • If a vendor cannot attend for a covered reason, they submit a claim directly to ViCoverage.
  • Approved claims are paid by ViCoverage — no funds are pulled from the organizer or event.

What’s Covered (Vendor Coverage Overview)


Refund Protection may apply if a vendor cannot attend due to:


  • Serious illness or injury (with medical advice not to participate)
  • Family emergency requiring care
  • Vehicle breakdown while traveling to the event
  • Job loss (after 3+ years) or relocation more than 100 miles for work
  • Emergency service or active-duty call (military, police, fire, first responder)
  • Pregnancy or adoption after registration with medical restriction
  • Home emergencies such as flood, burglary, vandalism, or natural disaster


Important:


Refund Protection applies to vendor-side inability to attend only.

It does not cover refunds if an event is canceled, postponed, or changed by the event organizer.

What Organizers Are Not Responsible For Event organizers do not:


  • Approve or deny Refund Protection claims
  • Collect medical or personal documentation
  • Issue refunds related to Refund Protection
  • Interpret insurance eligibility or policy terms

  • Clearly communicate your event refund policy in your listing
  • Treat Refund Protection as an optional insurance product, not a refund guarantee
