When Do I Have to Make a Payment When Applying to an Event?
The timing of your payment depends on how the event organizer has set up their application process. Here’s what you need to know:
Payment Terms are Set by the Organizer
Event organizers decide when and how vendor payments are collected. You may encounter one of the following setups:
- Payment Due at Sign Up:
You’ll be required to pay the booth or application fee immediately when you apply. Your spot is usually only confirmed upon organizer approval.
- Payment Due On Acceptance:
You can submit your application without payment and only pay once your application has been approved. If you choose to pay using a credit card, it will be automatically charged for the authorized amount. After that, you'll receive an email with your payment receipt.
- Payment in Terms
Some event organizers choose to divide the total cost into multiple payments. See the example below, a portion of the fee for the booth or application fee may be required at the time of application (in this case, the $35 is for the application fee, and an additional of 20% of the total booth fee is required upon submission of the application), indicated as "Required with Application." The remaining balance is typically scheduled in installments, either over the following weeks or a few days before the event.
You’ll Be Notified When Payment Is Due
- If your application is set to Due on Sign-Up or Due on Acceptance and there is no remaining balance, your payment has already been processed in full through our system.
- Once your application is approved and a balance remains, based on the terms set by the event organizer, you will receive an email detailing the amount due and the payment deadline. Depending on the organizer's chosen settings, you may have multiple payment options available, including offline methods if applicable.
Missed a Payment?
If you miss a payment deadline:
- Your booth may be released to another vendor
- Reach out to the event organizer as soon as possible to see if arrangements can be made
