Refund Protection for Vendors – What You Need to Know

Plans can change unexpectedly — illness, emergencies, or situations beyond your control can happen at any time. Refund Protection is an optional coverage offered by BoothCentral’s insurance partner, Vertical Insure (ViCoverage) to help protect vendors from losing non-refundable booth and registration fees.

This article explains what Refund Protection is, what it covers and doesn’t, and how to use it.



Important Note About Refund Protection


Refund Protection is not offered, administered, or processed by BoothCentral.


BoothCentral partners with Vertical Insure (ViCoverage) to make Refund Protection available to vendors. All coverage decisions, claims, documentation, and reimbursements are handled directly by ViCoverage, not BoothCentral and not the event organizer.



What Is Refund Protection?


Refund Protection reimburses vendors for non-refundable booth and registration fees if they are unable to participate in an event due to a covered, unforeseen reason.

If approved, Refund Protection may reimburse up to 100% of eligible non-refundable fees, helping protect your investment and your business



When Can Refund Protection Be Purchased?


Refund Protection can be purchased:


  • When you apply for an event, or
  • After you’ve already submitted your application, as long as coverage is still available for that event


If Refund Protection is available, you’ll see it in the Terms & Conditions or Insurance section of your BoothCentral application.



Adding Refund Protection During Your Application


When reviewing the Terms & Conditions section, you’ll see the option to add Refund Protection.


Refund Protection - Accept Protection

You can:


  • Accept coverage and include it with your application, or
  • Decline coverage and continue without it


Declining Coverage (and Adding It Later)


If you choose to decline Refund Protection during your application, you can still add it at a later date. The option is never gone.

After submitting your application, you can return to your event application and open the Insurance tab to review or add Refund Protection.

From here, you may:


  • Add Refund Protection, or
  • Leave coverage declined



How Refund Protection Works


  1. Purchase Refund Protection through your BoothCentral application or afterward.
  2. If you’re unable to attend the event for a covered reason, submit a claim directly with the provider.
  3. ViCoverage reviews the claim and, if approved, issues the reimbursement.

What’s Covered


Refund Protection may cover non-refundable fees if you’re unable to participate due to:


  • Illness or Injury

A serious illness or injury where a doctor advises you not to participate.

  • Family Emergency

A family member is unexpectedly hospitalized or requires your care.

  • Vehicle Breakdown

Your vehicle breaks down on the way to the event, preventing attendance.

  • Job Loss or Relocation

You or your spouse lose a job (after 3+ years) or are relocated more than 100 miles for work.

  • Emergency Service Duty

You are called to active duty as military, police, fire personnel, or first responder.

  • Pregnancy or Adoption

You become pregnant after registering and are advised not to attend, or a child is placed in your care.

  • Home Emergency

Your home becomes uninhabitable due to flood, burglary, vandalism, or natural disaster



What’s Not Covered


Refund Protection does not cover:


  • Event cancellation by the event organizer
  • Pre-existing medical conditions occurring within 90 days prior to purchasing coverage
  • Personal schedule conflicts or changes in availability
  • Circumstances that were known, expected, or foreseeable at the time the coverage was purchased



Important Things to Keep in Mind


  • Refund Protection is optional and separate from event refund policies.
  • BoothCentral does not approve, deny, or issue refunds under Refund Protection.
  • Event organizers do not process Refund Protection claims.
  • All claims and coverage questions must be handled directly with the provider.
